Terms and Conditions While Booking a Trip

These Terms and Conditions, related to the booking of your trip, consist important information, which you have to read in detail and understand properly, and which also binds you with the service of Ace Hoidays.

Booking and Payment Method for all Our Nepal Trips

First, to process your booking, you must send us a “Filled up Booking Form with 30% Non-Refundable Deposit” for all Nepal Trips. We suggest you to fax your passport at 00977-1-4444911, or you can email at [email protected]. After receiving your passport, completed booking form and non-refundable deposit through email or fax, we will send you a final confirmation receipt as a sign of evidence.

All deposit that you make should be on the basis of per person per trip. Ace Holidays will also email you about direct deposit details in which you have to pay a certain amount to bank for using its service. After receiving the payment, Ace Holidays will email you its detail, so that you can have a proof of your payment. If you do not prefer direct deposit in banks then you can make a payment through Visa Card or Master Card, but in this case also, a bank will charge you 4% for providing its service to you.

The Condition For Clearing the Remaining Balance as Per the Trip Booked is Explained Below

The remaining balance for all Nepal Trips can be cleared upon your arrival. Ace Holidays reserves the right to cancel your trip if it does not receive a full payment from you. Where possible, Ace Holidays also accepts your last minute booking, that is 10 days prior to trip date in Nepal. In this case, you have to make a full payment at once.

NepaL Cancellation & Booking Changes

Cancellation notice is required, 20 days prior to trip departure date and must be in a written form. Such written notice confirms the cancellation of your trip. Cancellation notice becomes only valid on the basis of 2 things, that is, when Ace Holidays approves it and informs you through email, and another is, when Ace Holidays deducts 30% amount from the advance payment that is the amount that you have deposited at first as an advance payment.

On the other hand, Ace Holidays does not refund you any deposit amount, if you provide notice less than 20 days, that is, before trip departure date. Ace Holidays also does not refund you full payment to you if you leave a trip for any reason whatsoever, either voluntarily or involuntarily, or if you commit any unlawful act after the trip has been commenced or in the middle of the trip. Ace Holidays also does not refund you for any meals, accommodation or services that you have not used during the trip.

Should you require any other change to your original trip, you must submit a written document with changes required. Ace Holidays will make every effort to meet possible changes.

If you are prevented from travelling by genuine circumstances, such as, death, injury or serious illness, you may postpone or transfer your booking to another person, provided he or she meets all the requirements relating to that trip. You must provide proof of why you are unable to travel at the time you change your booking. A fee of US $100 is required if you postpone or transfer the trip no less than two weeks prior to trip departure date. There will be no options available to you 14 days prior before trip departure date.

Nepal Passport and Visa

All clients must have a valid passport with at least 6 months validity. Nepalese visas can be obtained from the Nepalese Consulate in your country or upon arrival in Tribhuwan International Airport in Kathmandu.

You can obtain Nepalese Visa easily upon arrival at Tribhuwan International Airport in Kathmandu. (Tourist Visa with Multiple Entries for 15 days can be obtained by paying US $ 25 or equivalent Nepalese currency. Similarly, Tourist Visa with Multiple Entries for 30 days and 90 days can be obtained by paying US $ 40 and US $ 100 respectively. Please bring 2 passport size photos).

Travel Insurance

Travel insurance is compulsory both for you and for your trip. It should provide adequate protection to you, as well as cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue operation, and ambulance.

Ace Holidays also does not refund you for any meals, accommodation or services that you have not used during the trip. Tibet Passport and Visa

All clients must have a valid passport with at least 6 months validity from return date. As you are unable to obtain visas to Tibet you need to send your passport details to Ace Holidays for visa application, we require this information at least 20 days prior to departure.

After receiving your passport, including the completed booking form and the non-refundable deposit through email or fax, we will send you a final confirmation receipt of your trip.

All deposit that you pay should be on the basis of per person per trip. We would also like to tell you about direct deposit details in which you have to pay a certain amount to bank for using its service. After we have received the payment from you, we will email you its detail, so that you can have a proof of the amount paid to us. If you do not prefer the direct deposit in the bank, then you can make the payment through Visa Card or Master Card, but in this payment also, the bank will charge you 4% for using its service.

The Condition For Clearing the Remaining Balance as Per the Trip Booked is Explained Below

The remaining balance for Bhutan trip should be cleared 35 days prior to your arrival date in Nepal. Ace Holidays reserves the right to cancel your trip if you do not pay a full payment to it.

Bhutan Cancellation and Booking Changes

Cancellation notice is required 30 days prior to trip departure date and must be made in a written form. Such written form becomes effective only from the day Ace Holidays receives it. Your trip shall then be termed as cancelled by Ace Holidays, and a cancellation charge of 50% would be deducted from the advance payment that you have made.

Ace Holidays also does not refund you full payment to you if you leave a trip for any reason whatsoever, either voluntarily or involuntarily, or if you commit any unlawful act after the trip has been commenced or in the middle of the trip. Ace Holidays also does not refund you for any meals, accommodation or services that you have not used during your trip.If you are prevented from travelling, there is no refund to you, as well as you wiil not get any options because the Bhutanese governent has strict Tourism Policies.

Bhutan Passport & Visa

All clients must have a valid passport with at least 6 months validity from the return date. As you are unable to obtain visas to Bhutan, you need to send your passport details to Ace Holidays for visa applications at least 45 days prior to your arrival date.

Health and Fitness

All our clients should have a certain level of fitness; therefore, they should always check their health and fitness before travelling. It is client’s responsibility to notify Ace Holidays of any pre-existing medical condition that might affect him or her during the trip.

Children

A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.

Publicity

You should also comp[ly with the decision of Ace Holidays to use images that you have taken during the trip without your permission without compensating to you, for publicity and promotion purposes through whatever medium Ace Holidays chooses.

Changes to Your Trip and Price Due to Natural Disaster, Flight Delay, etc

Travelling with Ace Holidays requires a certain degree of flexibility, good humor and an understanding. Sometimes modes of transport, accommodation and itineraries change. Flight delay, notorious mountain weather, road blockage, political unrest, delay in arrival, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc) or other things beyond our control may affect your trip. Ace Holidays does not refund you any amount in these situations. The abovementioned cancellation and booking changes policy doesn’t apply. And any extra cost occurred shall be borne by the clients. Ace Holidays also does not accept any responsibility for loss of your employment, delays or compensation resulting from the situations beyond the control of Ace Holidays.

If possible, Ace Holidays will provide you an alternative trip of the same category. And you are also free to reschedule the trip. While rescheduling the trip, you will receive the full credit from your previously booked trip, and you will only pay the difference amount between old and new prices if the price increases for the rescheduled departure.

Ace Holidays provides you twin sharing accommodation. Thus, single room supplement will be charged to you if you do not have another participant to share accommodation with. Ace Holidays reserves the right to revise pricing rates, posted in its marketing material, website, under any circumstances, or on the pressure of various external factors that are beyond its control, for instance, changes in exchange rate, government action, etc.

Privacy

No private or personal information that you supply to us when making a booking will be disclosed for any other purpose.

Responsible Tourism Policy

Ace Holidays gives priority to the Responsible Tourism Policy, which focuses on the benefits of local people, tourists, and environment.

Complaints

Should you have a complaint about the trip or trip, you must make it known to your guide at the earliest time, who will take an appropriate action.
